We collect information only when strictly necessary for the provision of our services:
2.1 Licence management and technical verification (“Phone Home”)
When installing and activating our software (modules for Dolibarr, Prestashop, WordPress, etc.), the system performs a technical communication with our servers to validate the licence.
- Data processed: domain name, server IP address and version of the base software used.
- Purpose: fraud prevention, piracy control and validation of the licence contract validity.
- Legal basis: performance of a contract (Art. 6.1.b GDPR) and legitimate interest (Art. 6.1.f GDPR).
2.2 Commercial relationship and invoicing
- Data processed: name, surname, tax ID, postal address and contact details.
- Purpose: order management, legal invoicing and technical support.
- Legal basis: performance of a contract and compliance with legal tax obligations.
2.3 Interaction on the website (comments and cookies)
- Data processed: name, email address, IP address and browsing metadata.
- Purpose: spam moderation in comments and improvement of user experience through technical and analytical cookies.
2.4 Promotional use (customer references)
- Data processed: trade name and logo.
- Purpose: inclusion in our references or success stories section.
- Legal basis: consent, revocable at any time (as stipulated in the Terms and Conditions).
3. Data retention
Personal data will be kept for the time necessary to fulfil the purpose for which they were collected:
- Invoicing data: 6 years under the Spanish Commercial Code.
- Licence data: as long as the licence remains valid and until any potential legal liabilities become statute-barred.
- Comments: indefinitely, unless deletion is requested by the data subject.

Ninja Labs does not transfer personal data to third parties, except in the following cases:
- Legal authorities: judicial, administrative or tax bodies when there is a legal obligation or a formal request.
- Service providers: web hosting companies, spam management tools and payment gateways acting as data processors under a confidentiality agreement.
5. Rights of the data subject
You have the right to exercise your rights of access, rectification, erasure, objection, restriction of processing and portability of your data (ARCO-POL rights).
